Who we are
Healthy Feet Clinic, 17 Villa Street, Beeston, Nottingham NG9 2NY, is the "data controller" for your personal information. This means we decide how it is used and we are responsible for keeping it safe.

What information we collect
- Your details: name, date of birth, address, phone number and email.
- Health information that helps us treat you safely, such as your medical history, medicines, conditions like diabetes, and notes about your treatment. With your permission, this can include photos of your feet.
- Appointment and payment records.
- Messages you send us through our website, email, phone or social media.
- Website information collected by cookies, such as which pages you visit. See our cookie banner for your choices.
How we use your information
- To give you safe, suitable foot care and keep accurate treatment records.
- To book and manage your appointments and send reminders.
- To reply to your questions.
- To meet our legal, insurance and professional duties.
- To send you news or offers, but only if you have agreed. You can opt out at any time.
Under UK data protection law, we use your details to provide the service you have asked for, to meet our legal duties, and for our reasonable business needs. Because health information is extra sensitive, we only use it to provide your care.
Who we share it with
We never sell your information and we never share it with advertisers. We only share it when we need to, with:
- Cliniko, our secure booking and patient records system
- Wix, who host our website
- Square, who process card payments through our card machine
- your GP or another health professional, but only with your agreement, or in an emergency
- our insurers or professional body, if we ever need to deal with a claim or complaint
- the police or other authorities, only if the law requires it
Where your information is kept
Your information is stored securely by us and our trusted suppliers. If any of it is stored outside the UK, we make sure it is protected to UK standards, for example through approved data transfer agreements.
How long we keep it
- Treatment records for adults: 8 years after your last appointment.
- Treatment records for children: until their 25th birthday, or for 8 years after their last appointment if that is longer.
- Enquiries from people who don't become patients: up to 12 months.
We follow professional guidance on keeping health records. After that, we delete or securely destroy them.
How we keep it safe
Only our clinic team can see your records. Our systems are protected by passwords and an extra security check at login, our devices are kept up to date, and any paper records are locked away.
Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that is wrong
- delete your information, where we don't have to keep it by law
- limit or object to how we use it
- send your information to another provider
- stop marketing messages at any time

Making a complaint
If you are unhappy with how we have handled your information, please talk to us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Children
A parent or guardian must book appointments for children under 16 and stay with them during treatment. They can make requests about their child's information on their behalf.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
